One inbox for everything
Synthesia's finance team was scaling fast, and the AR inbox had become the operating system for the business. Customer questions, purchase orders, remittances, disputes, portal issues, and collections follow-ups all landed in one place, at a volume where a single follow-up or customer could slip through.
Context fragmented across systems
Working any one of them meant stitching the picture together by hand across email, NetSuite, and Salesforce, along with the account knowledge and judgment that lived with the team rather than in any system. A purchase order that arrived before its paperwork had to be tracked down, matched in NetSuite, and tied back to a Salesforce opportunity before an invoice could go out.
Portals and rigid reminders
On top of that sat 30 to 40 customer portals, each maintained by hand with its own login, validation rules, and failure modes. Some, like Ariba, could take ten to fifteen minutes per invoice and frequently timed out. NetSuite's scheduled dunning reminders ran on a fixed timeline, chasing customers who had already sent remittance or promised to pay.
